In line with our growth strategy, we are currently looking for a Shipping Documentation & Customer Service Executive to join our dynamic team.

Position Summary

The Shipping Documentation & Customer Service Executive will play a critical role in ensuring timely and accurate preparation of shipping documents, delivering high-quality customer service, and supporting coordination across operations. The ideal candidate will be detail-oriented, customer-focused, and experienced in handling end-to-end freight documentation processes. This position requires a deep understanding of shipping procedures, regulatory compliance, and client relationship management.

Key Roles & Responsibilities

1. Shipping Documentation

  • Prepare, verify, and process all shipping documents accurately and in a timely manner.
  • Liaise with clients, shipping lines, transporters, and regulatory bodies to ensure proper documentation.
  • Ensure compliance with local and international shipping and customs regulations.

2. Customer Service

  • Serve as a key point of contact for customers, providing updates and resolving shipment-related issues.
  • Track cargo and proactively communicate shipment status to clients.
  • Foster strong professional relationships to retain and grow customer accounts.

3. Pricing

  • Source and analyze freight rates from carriers and service providers.
  • Generate and send accurate freight quotations to clients.
  • Monitor market trends and provide strategic pricing insights.

4. Coordination & Communication

  • Coordinate with internal departments, port agents, and clearing agents to ensure smooth operations.
  • Schedule deliveries and oversee timely customs clearance.
  • Support the sales team with proposals, rate cards, and documentation.

5. Compliance & Record Keeping

  • Maintain organized records and filing systems for all shipments.
  • Ensure adherence to regulations by KRA, KPA, KMA, and other relevant authorities.

Desired Skills, Knowledge, and Experience

Academic Qualifications

  • Diploma or Degree in Logistics, Supply Chain Management, Shipping, International Trade, Business Administration, or a related field.
  • Professional training in Clearing & Forwarding (e.g., EACFFPC or equivalent) is an added advantage.

Work Experience

  • 3–5 years of relevant experience in a freight forwarding or clearing and forwarding firm.
  • Proven expertise in handling shipping documentation (e.g., Bill of Lading, commercial invoice, packing list, certificate of origin, customs documentation).
  • Strong knowledge of Incoterms, HS Codes, customs procedures, and port operations.

Technical & Functional Skills

1. Customs & Systems Proficiency

  • Hands-on experience with freight management software and customs systems (e.g., ICMS, TFP, ASYCUDA).
  • Competence in MS Office (Word, Excel, Outlook) and shipping line platforms.

2. Customer Service

  • Strong interpersonal and communication skills.
  • Ability to handle customer inquiries professionally and maintain strong client relationships.
  • Experience of engaging with clients from various industries.

3. Pricing & Quotation

  • Ability to prepare competitive and accurate freight quotations.
  • Understanding air and sea freight cost structures, surcharges, and destination pricing.
  • Skilled in rate negotiation with carriers and logistics partners.

Soft Skills

  • Excellent organizational and multitasking abilities.
  • Ability to perform under pressure and meet strict deadlines.
  • High degree of professionalism and discretion with sensitive information.
  • Exceptional attention to detail.
  • Team-oriented with strong collaboration and problem-solving skills.
